Marylebone Executive Search

What is the purpose of this document?

Marylebone Executive Search (“Marylebone”) is a “data controller”. This means that we are responsible for deciding how we hold and use personal information about you. This document is to make you aware of how and why your personal data will be used by us and the charities or businesses we work with (“the Clients”), namely for the purposes of executive search services, and for how long it will usually be retained. It provides you with certain information that must be provided under the General Data Protection Regulation ((EU) 2016/679) (GDPR).

Data protection principles

We will comply with data protection law and principles, which means that your data will be:

  • Used lawfully, fairly and in a transparent way.
  • Collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes.
  • Relevant to the purposes we have told you about and limited only to those purposes.
  • Accurate and kept up to date.
  • Kept only as long as necessary for the purposes we have told you about.
  • Kept securely.

Security

We are committed to ensuring that your information is secure. We have put in place appropriate security measures to prevent unauthorised access or disclosure of your personal data and to deal with any suspected data security breach.  We will notify you and any applicable regulator of a suspected breach where we are legally required to do so.

What data we hold?

If you have registered as a candidate with us, we will collect, store and use the following categories of personal information about you:

  • The information you have provided to us in your CV, covering letter or Personal Statements provided by you.
  • The information you have provided on our registration form, including name, title, address, telephone number, personal email address, date of birth, gender, employment history, qualifications,
  • Any information you provide to us during initial consultations or meetings.
  • Reports generated through the recruitment process

If you have not registered as a candidate with us, the data we hold for you includes your name, organisation address, telephone and email addresses

 How we will use information about you

We will use the personal information we collect about you to:

  • Assess your suitability for the position that is being applied for in the course of our executive searches
  • Communicate with you about the recruitment process.
  • Contact you and keep you informed of any special events that we may run from time to time.
  • Identify and contact people who might be interested in other opportunities that might arise from time to time.
  • Comply with legal or regulatory requirements.

Data held on people who are not candidates is used purely for the purposes of contacting you and keeping you informed of any special events that we may run from time to time.

The purpose for which data is collected is to provide sufficient information for Marylebone and our Clients to perform the executive search service.

The period for which we will keep this information.

We will retain your personal information for a period of at least one (1) year from the last date of supply or introduction to any Client. We retain your personal information for that period so that we can provide evidence in the event of a legal claim. After this period,  we will keep only the information you provided when you first registered with us and any subsequent updates you may have given us for as long as you remain interested in our services but if your information is not updated for a period of five years then it will be deleted from our database. Part of the information may be kept anonymously to maintain the integrity of our database

Who we will share your information with We will only share your data with:

  • Clients for the purposes of conducting our executive search services and when you have given us specific permission to do so. We will use reasonable efforts to try and ensure that the Client to which we pass this information uses your data in accordance with this Privacy Notice.
  • Any law enforcement agency, court or regulator, government authority or other third party where we believed this to be necessary to comply with a legal or regulatory obligation, or otherwise to protect our rights or the rights of a third party.

Your choices and rights

Under certain circumstances, you have a number of rights in respect of your information and can choose how we collect and use it. You can decide not to receive any further information from us relating to job opportunities, news or events.

You have the right to request access to the information that we hold about you.

As a registered candidate you can log on to our website and update your data at any time including the deletion of all your data.
